Exhibitor Applications for Wings Over Illawarra are still open!

Exhibitor applications for 2019 are still open.

In 2018 the airshow layout was changed considerably to include a large family carnival area and freestyle motocross display on the southern side of the event area. Further changes in 2019 include the re-location of the classic vehicles to the southern side along with additional attractions and exhibitor sites.

Food & Beverage Stallholder Sites
For the 2019 event, All Food & Beverage stall sites will be managed by a third party and All Enquiries are to be emailed direct to Mr John Girgenti.
Decisions regarding Food & Beverage Stallholders will not be made until January 2019, so if you contact John regarding a potential site, please be patient and you will be answered in the new year.

All Other Exhibitors
Application Process

  • Please read exhibitor Information and conditions below.
  • Complete the Exhibitor Application and Agreement Form.
  • All exhibitor sites will be allocated on a first come first served basis.
  • Applications will close at 5pm, Friday 29th March 2019, however we encourage you to send in your application early to avoid disappointment.
  • Once your application has been received, you will receive confirmation via email.
  • If your application is successful you will then receive a site allocation and invoice by email.
  • Full payment will be due immediately upon receipt of invoice.
  • Site allocation will only be held for 7 days pending payment in full. If payment is not received within 7 days, the site will be released to other applicants.
  • A current certificate of public liability insurance will then be requested.
  • Once payment and proof of current insurance is received exhibitor passes and bump in information will be issued.

Exhibitor Information and Conditions

  • All applications must be received by 5pm, Friday 29th March 2019.
  • Applicants must list an accurate description of products and/or services being sold (if required on the application form). They will be required to sell only those items that have been accepted in their application. The organisers reserve the right to request exhibitors who have not accurately described their products/services to remove those unlisted products/services from sale or close their stall.
  • The organisers may receive more applications for sites than can be accommodated. Some exhibitors may not be accepted simply on the grounds of duplication. A non-acceptance notification is not necessarily a reflection on the quality of your goods/services on offer.
  • Selection decisions are final and no correspondence will be entered into.
  • All exhibitors must comply with relevant statutory regulations including Shellharbour City Council’s Sustainable Event Policy, which bans the use of polystyrene products and non recyclable plastic products.
  • All exhibitors will be required to provide the organisers with a certificate of currency of public liability insurance to the value of $20,000,000 naming Bright Events Pty Ltd and Shellharbour City Council as interested parties. Proof of insurance must be received by the organisers before Exhibitor Passes and Bump in information will be issued. No exhibitor will be admitted without an Exhibitor Pass.
  • There will be a limited number of sites available for “Not For Profit” organisations at no cost and these sites will be limited to a single 3m x 3m site. If more space is required, exhibitor fees, according to the space required over and above a single 3m x 3m site will be payable. Consideration for site allocation of these sites will be based on order of receipt of application along with items for sale and duplication.
  • Exhibitors will be required to be open for business during the public access times of 9 am til 5 pm on both days of the event.
  • A maximum of 6 exhibitor passes will be available per stall including "Not For Profit" groups.
  • Any cancellations received after 31st March 2019 will not be refunded. Wings Over Illawarra is an all weather event and as such, no refunds will be made due to inclement weather.
  • All rubbish, including stock packaging, must be removed by the stallholder at the end of the day and not placed in or around the bins provided for airshow patrons.

Exhibitor Fees
Fees include both Saturday and Sunday of the event.

  • Aircraft Exhibitor Sites - Available in 3 sizes: 3m x 3m priced at $600 + GST, 15m x 10m priced at $1250 + GST and 20m x 10m priced at $1500 + GST.
  • North-Side General Exhibitor Sites - 3m x 3m in a high traffic area, priced at $900 + GST per site, with multiple adjoining sites available for those requiring a larger area.
  • South-Side General Exhibitor Sites - Available in 2 sizes: 3m x 3m priced at $600 + GST and larger 15m x 15m sites for $1000 + GST.

All sites are footprint only.

Aircraft Exhibitor Sites
These sites are for aviation industry businesses, including aircraft manufacturers/importers, industry suppliers, industry organisations, flying schools, etc.
Sites are available in 3 sizes: 3m x 3m for small marquees, 15m x 10m and 20m x 10m for aircraft displays and are located along taxiway "Echo" and behind the display aircraft to provide easy access for aircraft during bump-in and bump-out.
These sites will not have power available but exhibitors are welcome to supply their own silenced generators should power be required.

North-Side General Exhibitor Sites
These sites are for general product sales and information stalls and are sized at 3m x 3m.
Those requiring additional space must apply and pay for multiple adjoining sites.
Located along the side of the HARS hangar complex and immediately north of the taxiway, this is a high traffic area.
These sites will not have power available but exhibitors are welcome to supply their own silenced generators should power be required.

South-Side General Exhibitor Sites
Located south of the east/west runway, the 3m x 3m sites are for general product sales and information stalls.
15m x 15m sites offer much larger areas for those non-aviation related exhibitors with large displays. These areas are ideal for vehicle or machinery displays, larger retail outlets, outdoor equipment, etc.
The South-Side General Exhibitor sites will not have power available but exhibitors are welcome to supply their own silenced generators should power be required.

Note: All exhibitor tents and equipment must fit within the allocated site boundary.

Those wishing to be located in the North-Side General Exhibitor sites or the 3m x 3m South-Side sites requiring additional space will need to apply and pay for multiple adjoining sites.

All exhibitor vehicles must be removed from the event site by 08:30 am following "bump-in" and prior to the gates opening to the public each day.
